Phoenix overpayments and your taxes

As tax season approaches, here’s what Defence Team employees who were overpaid due to issues with the Phoenix pay system need to know:

Overpayments in 2017

If you were overpaid in 2017, it is essential that you call the Contact Centre at 1-855-686-4729 or fill out the online feedback form by January 19, 2018 to inform them of your overpayment.

You must do this even if you have previously identified that you have an overpayment to your manager or department.

Doing so will help ensure that you receive a correct T4 or R1 to submit your 2017 income tax return. If registered before January 19, 2018, every effort will be made to ensure that you will only have to repay the net overpayment rather than the gross which includes any deductions that were withheld (i.e. income tax, CPP and EI).

The deadline for filing your 2017 income tax return is April 30, 2018.

Overpayments in 2016

If you were overpaid in 2016, once this has been registered with Phoenix, your 2016 T4 or R1 will automatically be amended and sent to the tax authorities for reassessment. They will then credit your tax account for the deductions that had been withheld as a result of your 2016 overpayment. It is important for employees to call the Contact Centre to ensure that any suspected 2016 overpayment is registered in Phoenix as this will enable it to be tracked and resolved.

Repayment options and support

You will be contacted in writing by the Pay Centre regarding flexible options for repaying your overpayment. You will not be required to repay any amount until at least July 2018, by which time the tax authorities will have credited your tax account for the deductions that had been withheld as a result of your overpayment.
